    MINUTES of the meeting of THE BOARD OF TRUSTEES OF THE QUOGUE LIBRARY

    on February 18, 2023 which was held In the QL Boardroom and via Zoom.

    The following trustees were present: Barbara Sartorius Philippe McAuliffe, Kathy Lomas, Geoff Chepiga, Rich Petrocelli Wendy Cutler, Meredith Imber, Library Managing Director Susan McKenna was in attendance.

    Absent trustees: Kevin Crowe, Sally McGrath and Pierre de St. Phalle 

    The meeting commenced at 8:37 am.

    Public Expression: No attendees

    Minutes Approved: The minutes from the January 21, 2023 board meeting were approved.

    Managing Director’s Report: Susan updated the board on staffing, the need to purchase some large print books, and plans for the upcoming gala on July 30, 2023. On January 30, 2023 staff completed

    Emergency Preparedness Drills, including Code Adam. Next month Kevin will update us on a Network Proposal for moving forward.

    Treasurers Report: Rich reported all finances are in order. ( see Exhibit II).

    Legal Report: Geoff Chepiga reviewed current tax laws regarding charitable donations.

    New Business: A motion was made and approved to allow Susan to go forward with yearly employee reviews and increases. A salary budget not to exceed $800,000 for the coming year was approved.

    Meeting was adjourned at 9:18 am. The board went into Executive Session to discuss personnel matters.

    Next meeting is Saturday, April 1, 2023.

    Meeting commenced at 8:33 AM
    Public Recognition: No attendees
    Approval of Minutes: The 9/17/22 QL Board Meeting Minutes were approved.
    Treasurer’s Report – See Exhibit I. Susan McKenna noted concern over our tech consultant Kevin’s hours. The budget allows for 5 hours per week but should be used on an “as needed” basis.
    Legal Report – Geoff Chepiga researched the need for an AED Defibrillator on the library premises, and found that we are not required to have one. The board made a motion not to have one.
    Managing Director’s Report – See Exhibit II. Susan McKenna discussed staff training and mentioned that they have applied for two grants for the Innovation Lab and Garden. The Codebotics Club with East Quogue students in grades 3-5 is so popular that a second age group is being added. The Quogue Library Annual Appeal letter draft (see Exhibit III) was reviewed and adjusted. The goal is to get the letter sent to the community early November.

    Approval of Minutes: The 8/27/22 QL Board Meeting Minutes were approved.
    Treasurer’s Report – See Exhibit I
    Managing Director’s Report – Amanda Martocello, Children’s Librarian, gave Susan McKenna’s report, in her absence. See Exhibit II. The board approved the SCLS Proposed Resource Sharing Code Amendments. See Exhibit III. The proposal for an EV Charging Station at the library was disapproved. Trustee Continuing Education’s new mandate for public library trustees to do two hours of continuing education training per year begins on January 1, 2023. SCLS will provide training. Vulnerability Assessment of the building is scheduled October 26, 2022 with Suffolk County Homeland Security Section.
    Children’s Librarian Report – Amanda Martocello gave her update on the Children’s Department. See Exhibit IV. Most impressive was the doubled increase of teens enrolled in the summer reading program.

    of the Quogue Library Board of Trustees Meeting Saturday, August 27, 2022 located in Innovation Lab of QL
    Attendees: Barbara Sartorius, Kathy Lomas, Richard Petrocelli, Sarah Adams, Pierre de Saint Phalle, Philippe McAuliffe, Kevin Crowe, Geoff Chepiga, Meredith Imber, Sally McGrath, Susan McKenna, Lisa Weinschenk
    Meeting commenced at 8:35 AM
    Public Recognition: Resident Marge Duffy was in attendance.
    Approval of Minutes: The 7/23/22 QL Board Meeting Minutes were approved.
    New Trustee Geoff Chepiga was introduced and welcomed to our board.
    Bookkeeper Lisa Weinschenk was introduced.
    Treasurer’s Report – See Exhibit I. Rich Petrocelli and Lisa Weinschenk reviewed the past year’s budget of July 2021 – June 2022. It was discussed that the operating money should be deposited into the money market account. The Annual Appeal will be managed by Lisa, who will draft a letter to patrons for our approval at the next meeting.
    Susan McKenna’s Report – See Exhibit II. Susan discussed the Author’s Series, which had low attendance for several authors. The format should be reviewed and the cost for next summer is suggested to be $10 per author. Resident Gerry Byrne is offering a Zoom presentation about the Media Industry on October 13, limited to 15 attendees. Library will be switching from Optimum to Fiber for Internet Service – faster and cheaper.
    The after school programs are flourishing and the “Girls Who Code Series” has been a big success.
    Legal Report – Pierre de Saint Phalle has no news from the neighbors. Geoff Chepiga will investigate ADD equipment and service to patrons.
    Gift Policy was reviewed.

    of the Quogue Library Board of Trustees Meeting July 23, 2022 at the Quogue Library
    The following trustees were present: Kathy Lomas, Sarah Adams, Meredith Imber, Philippe McAuliffe, Barbara Sartorius, Sally McGrath
    Kellie-Ann Ford, Service Desk – Library Assistant was in attendance.
    Trustees Kevin Crowe, Rich Petrocelli and Pierre de St. Phalle were absent. The meeting commenced at 8:35 AM.
    Public Recognition: Quogue resident and Library Patron Marge Duffy was in attendance.
    Approval of Minutes: The minutes from June 18, 2022 board meeting were approved.
    Susan McKenna’s Report: See Exhibits I and II. Barbara Sartorius reviewed the report, in Susan’s absence. The 125 Anniversary Celebration and the Author Series Kickoff have received great feedback. The website has incurred extra development expenses and is still working out minor kinks. Website stats will be available for review at next month’s meeting. The Innovation Lab consultant, Chris Sauerwald, has been a great technology help.
    Treasurer’s Report:  See Exhibit III. Next month our bookkeeper, Lisa Weinschenk, will review the budget. The Annual Appeal Report was received. See Exhibit IV.
    Election of Trustee Geoff Chepiga: The board voted to approve the appointment of Geoffrey Chepiga as a trustee to the library.

    JUNE 18, 2022
    MINUTES of the meeting of THE BOARD OF TRUSTEES OF THE QUOGUE LIBRARY on June 18, 2022 was held in the QL Innovation Lab.
    The following trustees were present: Pierre de St. Phalle, Barbara Sartorius, Kevin Crowe, Rich Petrocelli, Sally McGrath, Kathy Lomas, Meredith Imber
    Library Webmaster Kristy Verity and Head of Patron Services Elizabeth Caputo were in attendance.
    Trustees Kevin Crowe and Phillippe McAuliffe were absent. The meeting commenced at 8:30 am.
    Public Expression: No attendees
    Minutes Approved: The minutes from May 21, 2022 board meeting were approved.
    Managers Report: Kristy Verity, Webmaster, displayed and discussed the new library website on the large screen. It is a work in progress with content to be added and adjusted. An analytics report on the usage of the website can be reviewed in the future.
    Elizabeth Caputo reviewed new staff and activity at the library.
    Treasurers Report: Rich Petrocelli reported that all finances are in order. (see Exhibit I). 
    New Business: Barbara Sartorius discussed staff positions.

    MAY 21, 2022
    MINUTES of the meeting of THE BOARD OF TRUSTEES OF THE QUOGUE LIBRARY on May 21, 2022 was held in the QL Boardroom and via Zoom.
    The following trustees were present:

    Library Managing Director Susan McKenna was in attendance.
    Trustees Sarah Adams and Phillippe McAuliffe were absent. The meeting commenced at 8:30 am.
    Public Expression: No attendees
    Minutes Approved: The minutes from April 23, 2022 board meeting were approved.
    Managing Director’s Report: Susan McKenna summarized her report (see Exhibit I) the new website is gradually opening. It will have all the summer schedule and there will be no hard copy. Newly hired technology consultant, Chris Sauerwald, has scheduled Innovation Lab programs and will train staff to implement.
    The 125th Library Anniversary on July 3 will have a welcoming table staffed by trustees. A raffle basket sponsored by trustees is being organized by Sally McGrath. Barbara Sartorius will ask the QFD to borrow 8′ tables. Water for refreshments to be ordered from Reay Refresh in Calverton. The wiring problem is to be repaired in the fall by PSEG. A staff chart is to be attached to Library Manager in the future.
    Treasurers Report: Rich Petrocelli reported that all finances are in order. (see Exhibit II). 
    New Business: Barbara Sartorius reported that Sea Level is plannign to work on the Children’s Screened Porch. She will look into Vixen Hill for components to compare price.

    Minutes Approved: The minutes from March 26, 2022 board meeting were approved.
    Managing Director’s Report: Susan McKenna summarized her report (see Exhibit I) and reviewed plans for the budget vote in May. A purchase order system was implemented. Plans have been made for planting the Childrens Garden. Hiring of a Technology Consultant was discussed.
    Treasurers Report: Rich Petrocelli reported that all finances are in order. (see Exhibit II).
    Legal Report: Pierre de Saint Phalle has no update to report.
    New Business: The gas fireplace is scheduled to be installed in early June.

    MINUTES of the meeting of THE BOARD OF TRUSTEES OF THE QUOGUE LIBRARY on March 26, 2022 was held in the QL Boardroom and via Zoom.
    The following trustees were present: Kathy Lomas, Pierre de St. Phalle, Kevin Crowe, Barbara Sartorius, Rich Petrocelli Sarah Adams, Sally McGrath
    Library Managing Director Susan McKenna was in attendance.
    Trustee Philippe McAuliffe was absent. The meeting commenced at 8:30 am.
    Public Expression: No attendees
    Minutes Approved: The minutes from January 15, 2022 board meeting were approved.
    New Trustee Approved: Meredith Imber was elected as a new trustee to serve on the Quogue Library Board.
    |Managing Director’s Report: Susan McKenna summarized her report (see Exhibit I) and updated the Staff Chart (see Exhibit II). The new website plans to go live mid April. 125th Anniversary of Library Celebration scheduled for Sunday, July 3rd, 2-6 pm. The summer schedule will go out in a newsletter via an Eblast, with hard copies available at the circulation desk.
    Treasurers Report: Rich Petrocelli reviewed the 2022/2023 library budget (see Exhibit III). Some line items need to be adjusted with our bookkeeper. The board approved a motion to pass the budget with no more than a 10% increase.
    Legal Report: Pierre de Saint Phalle has no update to report.
    New Business: The gas fireplace insert in the original library area was approved and to be funded by QLS. A sign for the Pollinator Garden to credit the Quogue Wildlife Refuge for their participation was approved.
